About the Role:

As the Event Operations Manager you will play a pivotal role in coordinating all event-related activities and coordinating everything from venue setup to vendor management, ensuring that each event runs seamlessly and leaves a lasting impression.

In this role, you will be responsible for:

  • Providing support to the management team and reporting directly to the Operations Director.
  • Ensuring the successful implementation of the operational planning for the event.
  • Overseeing the operational elements of the entire project, focusing on efficiency and effectiveness.
  • Supervising the preparation and planning of the Traffic Management Team, ensuring smooth traffic flow during the event.
  • Managing the Security team and oversee the development and implementation of the Security plan.
  • Collaborating with the Production team to secure and confirm all suppliers and deliverables for the event.
  • Compiling supplier briefing documents to provide clear instructions and expectations.
  • Conducting pre and post-load site inspections and preparing detailed reports.
  • Ensuring site operations and construction adhere to safety protocols.
  • Managing the end-of-event pack up and dismantle process efficiently.
  • Providing ongoing support to the Producer, Production team, and Project team throughout the event.
  • Establishing standard procedures and guidelines for the operations unit.
  • Negotiating and adjusting timescales or schedules as necessary to meet project requirements.
  • Supervising the logistics team to ensure smooth coordination and execution of operational tasks.
  • Managing operational and administrative functions to ensure efficient delivery of specific projects.
  • Executing systematic operation and coordination management to optimize event operations.
  • Collaborating with the Project Director and Operations Director to support key stakeholders.
  • Liaising with Health & Safety to ensure compliance with all necessary COVID-19 protocols.
  • Arranging site visits and coordinating the event team participation in show run-throughs prior to the event date.
  • Providing a detailed run-through sheet for on-site planning, scheduling, and dismantling once all details are confirmed.

Requirements

  • Previous experience in operations management or a related role, demonstrating the ability to successfully oversee and coordinate complex projects or events.
  • Strong organizational and planning skills, with the ability to manage multiple operational elements simultaneously and ensure efficient delivery.
  • Excellent leadership and team management skills, with experience in supervising and motivating teams to achieve operational goals and deliver high-quality results.
  • Strong problem-solving and decision-making abilities, with the capacity to effectively navigate and resolve operational challenges that may arise during the planning and execution of events.
