About the Role

As a Procurement Coordinator at LINKVIVA, you will play a crucial role in ensuring that all event materials and supplies are acquired timely and cost-effectively. Your responsibilities will include vendor sourcing, negotiations, and managing the procurement process to meet the agency's needs.

Specifically, the Procurement Coordinator should:

  • ​Identify and evaluate potential vendors, suppliers, contractors for various event materials/services and build a robust database
  • Vendor registration of verified suppliers through management approval and internal system.
  • ​A minimum of 3 quotes to be secured for comparisons, negotiate contracts, pricing, terms, and conditions with vendors to secure cost-effective deals while maintaining quality standards.
  • ​Generate and manage purchase orders, ensuring accuracy and timely delivery of event-related items.
  • ​Work closely with the finance team and production team to monitor and control procurement budgets, tracking expenses and identifying cost-saving opportunities
  • ​Ensure that all procured materials and services meet quality standards and adhere to agency guidelines.
  • ​Establish and maintain strong relationships with vendors and suppliers, fostering positive partnerships for future collaborations.
  • ​Manage inventory levels for event materials, ensuring adequate stock levels and minimizing wastage.
  • ​Maintain accurate records of all procurement activities, contracts, and vendor communications.

About you

As a minimum, you should have:

  • Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
  • 2-3 years of experience in procurement or supply chain management, preferably within the events industry.
  • Strong negotiation and vendor management skills.
  • Proficiency in procurement software and tools.
  • Excellent communication and organizational skills.
