About the Role
As a Programming Executive in the events industry, you will be responsible for supporting the development, coordination, and execution of programming content for various events, including conferences, seminars, workshops, and other gatherings. Your role involves assisting with content curation, speaker coordination, program management, and audience engagement activities to ensure the success of event programming initiatives.
Specifically, the Programming Executive will be expected to:
- Content Curation Support: Assist in the identification of key themes, topics, and session formats for events in collaboration with senior programming staff and event organizers. Research industry trends, best practices, and emerging topics to contribute to programming decision-making processes.
- Speaker Coordination Assistance: Support the speaker recruitment and management process by assisting with outreach, communication, and logistics coordination. Help compile speaker profiles, collect presentation materials, and ensure that speakers are well-prepared for their sessions.
- Program Management Support: Assist in the creation and maintenance of event programming schedules, agendas, and session outlines. Coordinate with internal teams, external vendors, and venue staff to schedule sessions, allocate resources, and address logistical requirements.
- Content Production Assistance: Provide support to produce presentation materials, audiovisual assets, and other content elements for event sessions. Assist with content review, formatting, and distribution to ensure accuracy, consistency, and quality.
- Audience Engagement Support: Assist in the implementation of strategies to enhance attendee engagement and interaction during event sessions. Help set up interactive elements, audience participation activities, and networking opportunities to create dynamic and engaging event experiences.
- Technical Support: Provide on-site technical support and assistance to speakers and presenters before, during, and after event sessions. Ensure that presentation materials are compatible with event technology platforms and audiovisual equipment.
- Quality Assurance Assistance: Assist with quality assurance checks on programming content to ensure accuracy, consistency, and compliance with event objectives and guidelines. Review session materials, speaker presentations, and session recordings to identify and address any issues or discrepancies.
- Stakeholder Communication: Communicate regularly with event organizers, speakers, sponsors, exhibitors, and other stakeholders to provide updates on programming activities, gather feedback, and address any concerns or issues that may arise.
- Post-Event Support: Provide support for post-event activities, including evaluations, reporting, and documentation. Assist in analyzing attendee feedback, session attendance metrics, and other performance indicators to inform future programming decisions and improvements.
As a minimum, you should have:
- Bachelor's degree in Event Management, Communications, Marketing, or a related field.
- Previous experience in event coordination, programming support, or related roles within the events industry is preferred.
- Strong organizational and time management skills, with the ability to manage multiple tasks and priorities simultaneously.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
- Detail-oriented and proactive, with a focus on quality and accuracy in programming activities.
- Basic knowledge of event technology platforms, content management systems, and audiovisual production techniques is desirable.
- Familiarity with industry trends, best practices, and emerging topics in event programming and attendee engagement.
- Ability to work independently and as part of a team in a fast-paced and dynamic environment.
- Flexibility to work irregular hours, including evenings, weekends, and travel as required for event programming activities.
